The Roles of ERAS Participants

The Applicant Role in ERAS

- Contact your designated Dean's office for a MyERAS Token and processing instructions.
- Contact each residency program for requirements, deadlines, and program information.
- Complete and submit the Common Application Form and personal statement(s).
- Request and assign USMLE transcripts and letters of recommendation.
- Follow up on Letters of Recommendation.
- Track the delivery of documents to the residency programs through the Applicant Document Tracking System (ADTS)
- Update MyERAS Profile and Applications with changed information or program additions as needed.

The School Role in ERAS

- Establish policies and procedures for local ERAS processing.
- Provide ERAS Tokens to applicants.
- Download Applicant Registration Files.
- Attach and transmit applicants' documents, including transcripts, photos, Dean's Letters, and letters of recommendation.
- Update and re-send USMLE scores as requested by examinees.
- Support students in the application process.
- Notify ERAS of any problems.

ECFMG Role in ERAS

- Provide DWS service to all students and graduates of foreign medical schools.
- Transmit USMLE transcripts to programs as instructed by the applicant.
- Update and transmit certification status (the ECFMG Status Report).
- Update and re-send USMLE scores as requested by examinees.

NBME Role in ERAS

- Download applicants' requests for USMLE/NMBE transcripts.
- Transmit USMLE transcripts to programs as directed by examinees.
- Send paper transcripts for NBME Part exams.
- Update and re-send scores as requested by examinees.

Residency Program Role in ERAS

- Establish and maintain Internet communications with the ERAS Post Office.
- Retrieve applications from the ERAS Post Office.
- Communicate with applicants regarding the processing of files at their programs.

AAMC Role in ERAS

- Provide software, manuals and instructions.
- Provide technical and program support to schools and programs.
- Ensure reliable and secure file transfer of application materials.
- Release Dean's Letters on November 1.
- Communicate problems, solutions, and issues.
- Archive application data for retransmission to programs as required.

ERAS Web Site

In the event that your question is not addressed in the MyERAS Help Section or it cannot be answered by your designated dean's office, ERAS has established a Web site featuring frequently asked questions about MyERAS. You can access this site at http://www.aamc.org/eras

Technical questions not answered through the other sources can be sent to myeras@aamc.org. ERAS will respond to your question within two business days. To expedite responses to your questions, please:

- Be sure to include your name, your ERAS ID number, your designated dean's office, and your return e-mail address. Responses to requests received without this information may be delayed.

- Be very specific when describing your problem. Include exact wording of error messages (cut and paste if possible), information about the type of computer being used and operating system (e.g., Windows 3.1, Windows 95) as well as the type and version of your browser.

MyERAS Website Overview

The MyERAS Website is broken up into 6 main sections:

1. MyERAS (Home)

This is the home page. Here you will find shortcuts to all sections of the MyERAS Website to create your application, supporting documents, your residency program choices, password, etc.).

More importantly, this page will be updated periodically with late-breaking ERAS news and tips.

2. My Profile

Information which may change (such as NRMP number and Contact Address) can be updated in My Profile. Unlike My Application, you will be able to update My Profile even after your application has been certified.

3. My Application

This is your Common Application Form. The CAF consists of 12 pages which focus on one particular area of your application (contact information, prior work experience, education, etc.).

Important Note: My Application cannot be updated once it has been certified and submitted. Review your information carefully before you do so. Once My Application has been certified, it becomes your application for the ERAS 2002 residency season. It will be transmitted to all residency programs that you have selected under My Programs (Applied to) and it will be transmitted to any residency programs that you later add.

4. My Documents

My Documents allows you to create and organize Personal Statements, USMLE Transcript Selections, Letter of Recommendation Writers, as well as print cover letters for Letter Writers.

5. My Programs

My Programs has 2 main sections:

- My Programs Selected - programs that have been "selected" but not "applied to" yet.

- My Programs Applied to - programs that you have submitted applications to.

Within My Programs you will be able to select programs, preview your invoice, view the programs to which your application has already been sent, and apply to programs that are selected.

6. My Reports

The Common Application Form and Curriculum Vitae reports show you how your CAF and CV information will be displayed by the residency programs to which you apply.

The Program Selection Report details what programs you have selected and/or applied to as well as documents assigned to these programs.

My Account History shows what fees you have incurred in the application process. It also displays the number of specialties and programs applied to.

The LoR Writer Instructions report is meant to be printed and given to prospective letter of recommendation writers. Detailed instructions are given on how to prepare and send a letter of recommendation.

ERAS 2002 Application Fees

MyERAS processing fees are based on the number of programs selected per specialty. AAMC fees are the same for all ERAS applicants.

Example 1: An applicant applies to 30 emergency medicine programs, AAMC fees are $240.00. (20x$6 + 10x$12)

Example 2: An applicant applies to 20 OBGYN programs, and 10 family residency programs. The fees are $180.00. ($120 for OBGYN and $60 for family residency programs).

Example 3: An applicant applies to 12 internal medicine programs, 10 emergency medicine, and 8 family practice programs. AAMC fees are $192. ($72 for internal medicine programs, $60 for emergency medicine programs, and $60 also for family practice.)

National Board of Medical Examiners (NBME) charges a flat $50 fee to U.S. and Canadian Applicants who request transmission of scores to programs, regardless of the number of transcripts requested. The NBME fee is included on your invoice and collected by AAMC.

ECFMG will also provide a USMLE transcript for $50, regardless of the number of transcripts transmitted during ERAS 2002. The ECFMG fee is included on your invoice and collected by AAMC.

Prior to receiving an ERAS Token, students and graduates of foreign medical schools are charged a fee of $75, payable to ECFMG. This ECFMG Application Fee includes preparation and transmission of the ECFMG Certification Status Report to all programs.

Note: No refunds will be given for applications sent to programs whose deadlines have passed.
